Committees

The Board of Directors of the Parkdale Village Arts Collective Inc. (PVAC) has approved Terms of Reference for a variety of Committees.

Committees are intended to assist the Board in the governance and oversight of the organization. As PVAC has matured, it has become increasingly difficult for the volunteer Board to consider, discuss, and set policy on a wide range of topics and items. The Committees present an opportunity for Members to participate in the organization’s governance process through distributed decision-making. As an administrative framework, the Committees relieve the Board of excessive workloads, and encourage the development of wider leadership capacity through mentorship and shared responsibilities.

Members of PVAC are encouraged to serve on at least one Committee as part of their regular service to the Collective. Each Committee offers an array of job roles and accompanying job descriptions. Some roles require a predictable time commitment, while others are less structured. In all cases, Members report to a Committee Chair who is responsible for calling and running meetings according to a set and recurring agenda. Chairs ensure that discussion is properly recorded, and that its outcomes and recommendations are forwarded to the Board of Directors for approval. To this end, most Committees will meet about four times per year, ideally 2 – 3 weeks in advance of regular Board Meetings. 

Under the maxim that “Many Hands Make Light Work,” the Board believes that volunteer job roles should be narrow in scope, limited in duration, and easy to manage for an individual. Most of the tasks assigned to Committees involve basic maintenance/updating of existing lists and spreadsheets, thorough and thoughtful discussion regarding important decisions, vote-taking if and when required, and timely reporting to the Board with respect to recommendations. Members who self-identify as having a particular skillset are encouraged to join the Committee where those skills will be most useful. However, the Collective is equally grateful for volunteers who choose to serve where the need is greatest.  

Below are brief descriptions of each of PVAC’s standing Committees. Please review the available opportunities and reach out to volunteering@gallery1313.org to express your interest in joining that group. The Chair of that Committee will reply with further instructions regarding the next scheduled meeting.

Executive Committee

The Executive Committee consists of Officers of the Board of Directors. It ensures compliance with Board and Committee policies and acts in urgent, crisis and/or time-sensitive circumstances.

While the Committee has authority to act on behalf of the Board, its powers shall be used only as necessary and appropriate on routine or urgent matters that cannot and should not be delayed until the Board’s next regular meeting or until a special meeting of the Board can be called. Finance Committee

The Finance Committee assists the Board of Directors in fulfilling its oversight responsibilities with respect to all key financial activities including:

  • Budgeting
  • Audit
  • Financial Reporting
  • Contract Management; and 
  • Investments

Members of this Committee should have a general knowledge of and familiarity with standard financial reporting documents, and be available to assist with their analysis. The Committee relies on a suite of service providers such as book-keeping, accounting, and auditing professionals to ensure that members are working within a supportive and educational environment. Learn more…

Fundraising Subcommittee

The Fundraising Subcommittee assists the Board of Directors (via the Finance Committee) in the planning, coordination and implementation of all fundraising activities in support of the projects and activities. Learn more…

Governance Committee

The Governance Committee assists the Board of Directors to build and maintain a comprehensive and effective governance structure that oversees and manages the organization 

Volunteers on this committee are responsible for developing the organization’s Strategic Plan, and are charged with regular reviews of PVAC’s bylaws, resolutions, policies, procedures, and reference materials to ensure they continue to support the Board’s objectives. Learn more…

Handling and Maintenance Committee

The Handling and Maintenance Committee is responsible for delivering a delightful Exhibitor Experience. As such, the Committee acts as a co-host (with the Programming Committee) to ensure all artists and groups who show at the Gallery have a rewarding and beneficial time. 

Volunteers on this committee serve as a support service within the physical exhibition environment. They are responsible for the General Reset of the space after each exhibition, and also for ensuring a state of good repair across the duration of the year. Learn more…
